Hague Apostille for documents used in Italy

The right order between apostille and translation. It is what separates a file that moves forward from a file that has to be redone — and paid for twice.

What the apostille does — and what it does not

The Hague Apostille certifies the authenticity of the signature and seal on a public document so that it is accepted in another signatory country.

What it does not do: it does not translate, it does not correct spelling errors, it does not validate content and it does not replace a sworn translation. An incorrect document with an apostille is still an incorrect document.

The order that avoids paying twice

  1. Check the document — spelling, dates, completeness, validity.
  2. Apostille the original in the country that issued it.
  3. Translate document and apostille together, sworn in Italy.
  4. File with the receiving authority.

Swapping steps 2 and 3 is the most common mistake I see. And the most expensive.

When it is required

  • Civil certificates for the residence permit and for Italian citizenship.
  • Degrees and transcripts for student visas and for qualification recognition.
  • Powers of attorney and corporate documents filed in Italy.
  • Documents for consulates, universities and courts.

Who signs the translation

Not every translation carries legal weight in Italy. A sworn translation (traduzione giurata or asseverata) only exists when a qualified translator takes legal responsibility for the text and swears it before the competent authority.

  • Tribunale di Roma — listed in the register of technical and specialised professionals.
  • Italian Chamber of Commerce — officially registered in the ruolo periti ed esperti.
  • 15 years living in Italy, inside the system that issues and receives these documents.
  • Over 50,000 documents translated in Portuguese, Italian, English and Spanish.

In practice: the document I sign enters the Italian system directly, with no need for additional consular validation.
